This position is responsible for providing guidance, day-to-day support, maintaining administrative systems, procedures and policies. Works closely with the Chief Information Officer to ensure that office/departments runs smoothly and coordinates efforts with the IT Directors and associates to ensure organizational, office goals, and objectives are met. In addition to office management responsibilities, this position may be responsible for administrative, production and/or accounting duties.


  • Communicate new policies, procedures, and best practices to staff.
  • Coordinates payment arrangements for IT staff accommodations during travel.
  • Reviews all IT expense reports for policy compliance.
  • Monitors and controls Capital Expenditure Request (CER) process, in correlation with Accounting & Finance and Corporate policies and procedures.
  • Coordinates the issuance of Purchase Orders (PO) with Purchasing Department.
  • Maintains Active Project Listing and obtains approvals, where applicable.
  • Responsible for ensuring data is correct in internal database and following up on missing information.
  • Provide administrative and production support to CIO
  • Coordinates time sheet collection from IT staff and generates time sheet reports for Accounting & Finance.
  • Provide administrative and production support including typing correspondence (letters, memos, reports), scheduling appointments and conference calls, etc.
  • Compiles materials and prepares confidential reports and documents.
  • Manages relationships with travel affiliates.
  • Serve as office contact for all corporate departments such as Human Resources, Accounting, Marketing and Information Technology.
  • Maintains accurate inventory of office & Break Room supplies.
  • Orders supplies and coordinates with vendors for deliveries.
  • Maintains open communication with property management and reports maintenance requests, where appropriate.
  • Greets and assists with incoming guests for Richardson IT office.
  • Assists with facilities-related tasks, as needed
  • Schedules annual Leadership Meetings, events, and travel for IT leadership, when necessary. Ensures supported staff is prepared with all materials and information for meeting, events, and travel.
  • Ability to work after hours, as necessary
  • Other duties, as required.


  • Must possess personal tact, discretion, and good judgment.
  • Excellent communication, organizational, grammatical, and time-management skills.
  • Ability to be an independent worker with a team player attitude.
  • Ability to multitask and effectively prioritize work requests.
  • Experience with accounting, IT, and facilities management is preferred.
  • Strong attention to detail and timely follow-up.
  • Intermediate working knowledge of Word, Excel and Power Point required.
  • Good working knowledge of office equipment and procedures including computers, photocopiers, printers, fax machines, mailing equipment, telephone systems, filing systems, etc.
  • 3-5 years’ proven experience supporting multiple senior level executives (VP level and above)
  • Bachelor degree preferred
