  • Overview

    The Front Desk Receptionist requires the ability to multitask. Must be able to answer multi-line phone professionally and efficiently, direct calls quickly and correctly, take accurate messages, distribute mail, greet guests and maintain a professional and welcoming environment in the front lobby. This position provides a high level of customer service to the clients and patients calling and visiting Sonic Healthcare USA.   Must adhere to departmental policies and procedures and be able to take and follow direction.   Commitment of working the hours of 8A - 5P.

    Responsibilities

    • Answering the phone, effectively and efficiently
    • Directing callers to the appropriate person or department in a timely manner
    • Accurate messages distributed quickly
    • Greet guests; notify SHUSA employee, offer hospitality, taxi reservations
    • Maintaining professional environment at the front desk both through communication and appearance, keeping the front desk, lobby, conference rooms and kitchen tidy (the kitchen also to be fully stocked on all supplies)
    • Decorate the lobby for holidays, including the putting up and taking down of the lobby Christmas tree
    • Distribute USPS/interoffice mail (open and date stamp all incoming invoices)
    • Distribute Fed Ex/UPS deliveries and prepare outgoing FedEx shipments/labels
    • Run postage for special projects or as needed and maintain the postage machine
    • Maintain updates for Riata phone console, phone directories and email distribution list
    • Order office supplies via ProcureIt
    • Order soda/snacks via Executive Beverage
    • Order drinking water via Exec Bev or ProcureIt, when needed
    • Order coffee/tea supplies via Parks Coffee
    • Schedule conference rooms plus schedule 3 reserved offices when requested
    • Act as a back up to the administrative team to assist in ordering/receiving/setting up breakfast and/or lunches for conferences as needed (clean up if necessary)
    • Submit work tickets via Impak for building/maintenance issues and follow-through
    • Scan documents as requested – projects
    • Assist accounts payable department (A/P) with date-stamping all invoices received via USPS mail, scan invoices and W-9s as requested by A/P, combine invoices with payemtns
    • Schedule Raita suite plant care with Natura
    • Maintain upkeep of all copier machines (toner, paper) and submit work tickets when necessary
    • Prepare HR Orientation Packets and HR employee folders
    • Update both Reception Desk Ipad and front office copier with employee additions/deletions
    • Assign badges to long-term visitors and maintain spreadsheet
    • Act as back-up to administrative team for scheduling Zoom meetings
    • Maintain SHUSA Info email account and route emails onto appropriate staff
    • Provide wifi passcode for guests
    • Act as contact for forwarding Riata Tenant emails
    • Provide administrative support for projects
    • Able to work independently at the front desk as well as being part of the Administrative Support Team
    • Strong knowledge of Word, Excel, and Outlook
    • Utilize job knowledge, judgment, and problem solving skills to ensure quality interaction with callers and guests
    • Understands and follows all Sonic Healthcare USA policies
    • Understands and follows all HIPAA guidelines
    • Follows Compliance procedures and participates in Compliance training
    • Punctual at all times
    • Utilizes personal and professional skills to promote excellent customer service 
    • Communicate with Administrative Support Team to insure quality and consistent performance and the front desk
    • Maintain a service oriented attitude with callers, guests and staff
    • Respect and protect the confidentiality of information relative to patients, clients and staff

    Qualifications

    Required:

    • High School diploma required

     

    Preferred

    • Some College Experience
